GHOSTPHORM LLC, AN ALABAMA LIMITED LIABILITY COMPANY

GHOSTPHORM LLC, AN ALABAMA LIMITED LIABILITY COMPANY

Last Updated: September 20, 2026

Insurance & Liability

GHOSTPHORM LLC maintains a General Liability insurance policy with coverage up to $1,000,000, covering our operations and services as a licensed and insured automotive appearance company.

In addition, GHOSTPHORM maintains coverage for customer vehicles and personal property left inside a vehicle during service, up to $2,500 per occurrence. This coverage applies to loss or damage directly caused by GHOSTPHORM during the course of service. It does not cover pre-existing damage, items of unusual or exceptional value, cash, or personal property not disclosed to GHOSTPHORM prior to service.

Customers are responsible for removing valuables, personal belongings, and items of significant monetary or sentimental value from the vehicle prior to service. GHOSTPHORM is not liable for the loss, theft, or damage of any personal property left in the vehicle that exceeds the stated coverage limit, or for items not disclosed prior to the start of service.

By booking a service with GHOSTPHORM, the customer acknowledges and agrees to the coverage limits and terms outlined above.

At GHOSTPHORM LLC (“GHOSTPHORM,” “we,” “us,” or “our”), every appointment represents a commitment of dedicated time, labor, equipment, products, preparation, and scheduling capacity. When you book an appointment, that time is reserved specifically for you and is generally unavailable to other customers.

For this reason, all service appointments require a non-refundable booking deposit or pre-payment.

By submitting a deposit, pre-payment, or other payment toward a GHOSTPHORM service, you acknowledge and agree to the terms of this policy.

1. All Booking Deposits Are Non-Refundable

All deposits required to reserve a service appointment are non-refundable, except where a refund is expressly required by applicable law or where GHOSTPHORM, at its sole discretion, voluntarily agrees otherwise in writing.

A deposit is not merely a payment toward the eventual service price. It also secures a specific appointment date and time and compensates GHOSTPHORM for reserving its resources and taking that appointment off the market.

Once an appointment is reserved, GHOSTPHORM may decline other customers seeking that same appointment time. A cancellation therefore can result in a financial loss even when no work has yet been performed.

2. Cancellations by the Customer

If you cancel a scheduled appointment, your booking deposit will not be refunded.

Depending on the circumstances and the amount of notice provided, GHOSTPHORM may also charge or retain additional amounts that are reasonably attributable to losses caused by the cancellation, to the extent permitted by applicable law and the terms of your service agreement.

Examples of losses may include:

  • Reserved technician labor capacity

  • Lost opportunity to schedule another customer

  • Administrative and scheduling costs

  • Vehicle or service preparation

  • Products or materials purchased or allocated for the appointment

  • Equipment preparation

  • Special-order materials

  • Time spent communicating, estimating, inspecting, or preparing for the appointment

  • Other reasonably foreseeable costs resulting from the cancellation

GHOSTPHORM does not guarantee that a cancelled appointment can be replaced with another customer.

3. Why Deposits Are Non-Refundable

Our appointments involve more than simply placing a time on a calendar.

When you book, GHOSTPHORM commits business resources to your appointment and may turn away other customers because that time has been reserved for you. A last-minute cancellation can leave a portion or all of that reserved capacity unused.

The non-refundable deposit is intended to reasonably compensate GHOSTPHORM for the commitment and potential losses associated with reserving that appointment.

The deposit is not intended as a punishment or penalty for cancelling. It is a contractual booking charge associated with reserving GHOSTPHORM's time and resources and is intended to reflect losses and costs that may be difficult to calculate precisely at the time of booking.

4. Rescheduling

GHOSTPHORM may allow an appointment to be rescheduled at its discretion.

A rescheduling request does not automatically create a right to a refund.

If GHOSTPHORM permits a deposit to be transferred to a new appointment, the new appointment may be subject to availability, additional terms, and a rescheduling deadline communicated by GHOSTPHORM.

Repeated rescheduling, failure to appear, or cancellations with insufficient notice may result in forfeiture of the deposit and/or the requirement that a new deposit be paid before another appointment is scheduled.

5. No-Call / No-Show Appointments

Failure to appear for a scheduled appointment without providing reasonable advance notice constitutes a no-show.

No-show appointments are not eligible for a refund of the booking deposit.

GHOSTPHORM reserves the right to require a new deposit or full pre-payment before accepting another appointment following a no-show.

6. Late Cancellations

Because appointment availability is limited, cancellations made close to the scheduled service date can create a significant likelihood that GHOSTPHORM will be unable to fill the vacated appointment.

Accordingly, GHOSTPHORM may enforce additional cancellation terms disclosed at the time of booking for services requiring substantial preparation, extended appointment times, special-order materials, mobile service, or other services where cancellation creates substantial costs.

Any such charge will be subject to applicable law and the terms disclosed to the customer before payment.

7. GHOSTPHORM Cancellation

If GHOSTPHORM must cancel an appointment for reasons within GHOSTPHORM's control and cannot reasonably provide the contracted service at another mutually acceptable time, GHOSTPHORM will provide the customer with the applicable refund or credit required under the circumstances and applicable law.

Nothing in this policy is intended to eliminate any refund, cancellation, warranty, or other right that cannot lawfully be waived.

8. Service Issues Are Different From Customer Cancellations

This policy applies to customer cancellations, rescheduling, and failure to appear. It does not prevent a customer from asserting a legitimate claim when GHOSTPHORM fails to provide a service as agreed, where a refund or other remedy is otherwise required by applicable law or the applicable service agreement.

If you believe a service was not performed as agreed, contact GHOSTPHORM promptly so that the matter can be reviewed.

9. Alabama Law

GHOSTPHORM LLC operates in Alabama, and this policy and the service agreements to which it applies are intended to be governed by applicable Alabama law.

Alabama law recognizes contractual provisions concerning cancellation and damages, but provisions intended to establish damages for a breach must generally bear a reasonable relationship to the anticipated or actual harm caused by the breach; an amount that functions as an unreasonably large penalty may not be enforceable. See Ala. Code § 7-2-718.

Accordingly, GHOSTPHORM intends its booking deposits and any applicable cancellation charges to compensate for legitimate business losses associated with reserved appointments rather than to impose an unlawful penalty.

Nothing in this policy is intended to waive, restrict, or eliminate any rights or remedies that cannot legally be waived under Alabama or applicable federal law.

10. Agreement to These Terms

By booking a GHOSTPHORM service and submitting the required deposit or pre-payment, you acknowledge that:

  1. You have reviewed this Service Booking & No-Refund Policy;

  2. You understand that your appointment reserves dedicated GHOSTPHORM resources;

  3. You understand that the required booking deposit is non-refundable except where otherwise required by law or expressly agreed to by GHOSTPHORM in writing;

  4. You understand that cancelling an appointment may cause GHOSTPHORM to suffer financial losses;

  5. You agree to the cancellation, rescheduling, and no-show terms applicable to your appointment; and

  6. You agree that these terms form part of the agreement between you and GHOSTPHORM LLC.

If you do not agree to these terms, please do not submit a booking deposit or pre-payment.

Service Policies & Customer Terms

Effective Date: September 4, 2026

These policies establish the terms applicable to vehicle detailing, paint correction, ceramic coating, surface preparation, and related services performed by GHOSTPHORM LLC (“GHOSTPHORM,” “we,” “us,” or “our”).

By scheduling, authorizing, or paying for services, the customer (“Customer,” “you,” or “your”) acknowledges and agrees to these policies.

1. Paint Correction Results Policy

Paint correction is a process of improving the appearance of a vehicle's existing paint by reducing or removing surface defects through polishing and, when appropriate, controlled abrasive correction.

Paint correction does not guarantee that every visible defect will be completely removed.

The final result depends on numerous factors, including:

  • Paint thickness

  • Paint hardness

  • Clear-coat condition

  • Depth and severity of scratches

  • Etching

  • Oxidation

  • Water spotting

  • Previous polishing or sanding

  • Previous bodywork or repainting

  • Paint failure

  • Contamination

  • Defects extending below the clear coat

  • Factory paint characteristics

  • The amount of material that can safely be removed

Certain defects may be too deep or severe to safely remove through polishing alone. Attempting to completely remove a defect may require removing an unsafe amount of clear coat and could increase the risk of premature paint failure.

For this reason, GHOSTPHORM's objective is safe and appropriate correction, not the unconditional removal of every defect.

Correction Levels

Different services may be designed to achieve different levels of correction.

A maintenance polish, enhancement polish, one-step correction, multi-step correction, or advanced correction should not be interpreted as guaranteeing a particular percentage of defect removal unless a specific result has been expressly agreed to in writing.

The condition of the vehicle will be evaluated before work begins, and GHOSTPHORM may recommend a particular correction process based on the condition and risk associated with the vehicle's paint.

Existing Paint Damage

GHOSTPHORM is not responsible for defects that cannot reasonably be corrected through the agreed service.

This includes, without limitation:

  • Deep scratches

  • Scratches through the clear coat

  • Exposed primer or metal

  • Rock chips

  • Cracking

  • Peeling or delaminating clear coat

  • Failing or oxidized paint

  • Previous improper repairs

  • Paint-transfer damage extending beyond the surface

  • Severe chemical etching

  • Existing sanding marks

  • Burn-through or thin paint resulting from previous work

Where correction of a defect would create an unreasonable risk of damaging the vehicle, GHOSTPHORM reserves the right to leave the defect partially or completely untouched.

No Guaranteed Percentage of Correction

Unless expressly stated in a written estimate or service agreement, GHOSTPHORM does not guarantee a specific percentage of defect removal.

The purpose of paint correction is to achieve the best reasonable result while maintaining an appropriate safety margin for the vehicle's existing paint system.

2. Ceramic Coating Warranty Policy

Any ceramic coating warranty offered by GHOSTPHORM applies only to the specific coating product, service, vehicle, and warranty period identified on the customer's invoice, service agreement, warranty registration, or other written documentation.

A ceramic coating warranty is not a guarantee against all forms of damage, contamination, staining, scratching, environmental exposure, or deterioration.

Unless expressly covered by the applicable written coating warranty, ceramic coatings do not protect a vehicle from:

  • Rock chips

  • Road debris

  • Collision damage

  • Deep scratches

  • Dents

  • Scraping

  • Improper washing

  • Automatic car-wash damage

  • Abrasive cleaning

  • Neglect

  • Chemical abuse

  • Paint failure

  • Clear-coat failure

  • Existing paint defects

  • Improper maintenance

  • Environmental contamination beyond the coating's capabilities

Warranty Eligibility

A coating warranty may require the customer to comply with specific maintenance requirements.

Depending on the coating package, these requirements may include:

  • Appropriate hand washing

  • Use of coating-safe cleaning products

  • Periodic maintenance services

  • Avoiding harsh or abrasive chemicals

  • Proper drying techniques

  • Prompt removal of bird droppings, insects, tree sap, and other contaminants

  • Periodic inspection or maintenance as specified by the coating manufacturer or GHOSTPHORM

Failure to follow applicable maintenance requirements may void or limit the warranty.

Warranty Claims

A warranty claim must be submitted to GHOSTPHORM for inspection.

GHOSTPHORM may require the vehicle to be physically inspected before determining whether a warranty issue exists.

If a claim is determined to be covered, GHOSTPHORM's remedy may include an appropriate maintenance treatment, repair of the affected coating area, or reapplication of coating to the affected area, depending on the applicable warranty terms.

A coating warranty does not automatically entitle the customer to a refund.

Any remedy will be limited to the obligations specifically provided by the applicable coating warranty, subject to rights that cannot legally be waived.

3. Existing Damage & Condition Disclosure

Customers are responsible for informing GHOSTPHORM of known pre-existing damage or unusual vehicle conditions before service begins.

GHOSTPHORM recommends that customers disclose:

  • Previous accidents

  • Repainted panels

  • Bodywork

  • Previous paint correction

  • Previous wet sanding

  • Touch-up paint

  • Clear-coat failure

  • Paint peeling

  • Cracked or damaged trim

  • Loose emblems

  • Loose moldings

  • Delaminating surfaces

  • Ceramic coatings or paint protection films previously installed

  • Vinyl wraps

  • Decals

  • Aftermarket modifications

  • Damaged wheels

  • Damaged glass

  • Existing interior damage

GHOSTPHORM may photograph or document the vehicle's condition before beginning work.

These photographs may be retained as part of the service record.

Pre-Existing Damage

GHOSTPHORM is not responsible for damage that existed before the vehicle was received.

This includes damage that may become more visible after cleaning, polishing, paint correction, or coating application.

For example, polishing may increase the visual contrast of an existing scratch, chip, repaint, sanding mark, paint defect, or other condition without causing that condition.

Fragile or Failing Components

Older vehicles and vehicles with previous repairs may contain components that have become brittle, loose, improperly installed, deteriorated, or otherwise compromised.

GHOSTPHORM will use reasonable care during service but cannot guarantee that an already compromised component will withstand normal handling.

If GHOSTPHORM discovers a component that appears likely to be damaged by continued service, GHOSTPHORM may stop work on that area and notify the customer.

4. Vehicle Abandonment & Unclaimed Vehicles

Vehicles left at GHOSTPHORM after completion of services remain the property and responsibility of the customer.

Customers are responsible for retrieving their vehicle promptly after being notified that the service is complete.

If a vehicle remains at the facility beyond the agreed pickup period, GHOSTPHORM may assess reasonable storage or related charges to the extent permitted by applicable law and the customer's service agreement.

GHOSTPHORM may contact the customer using the contact information provided at booking.

Failure to Retrieve Vehicle

If a customer fails or refuses to retrieve a vehicle, GHOSTPHORM may exercise any rights and remedies available under the service agreement and applicable Alabama law, including pursuing unpaid charges and any lawful lien or other remedy available to a person who has performed work on or provided services for a motor vehicle.

Alabama law provides statutory mechanisms concerning liens associated with certain repair or improvement work on vehicles. Any enforcement, attachment, sale, or disposition of a vehicle will be performed only in accordance with applicable law and required procedures.

GHOSTPHORM does not acquire automatic ownership of an abandoned vehicle merely because the customer leaves it at the facility.

The customer remains responsible for all lawful charges associated with the vehicle until it is properly retrieved or otherwise lawfully disposed of.

5. Payment Disputes & Chargebacks

When a customer authorizes a service and submits payment, the customer agrees to the applicable service description, pricing, booking terms, cancellation policy, and these policies.

Customers are expected to contact GHOSTPHORM directly regarding billing concerns before initiating a payment dispute or chargeback.

If you believe a charge is incorrect, contact GHOSTPHORM promptly and provide the relevant details so that the issue can be investigated.

Unauthorized Chargebacks

A chargeback or payment dispute does not automatically cancel the customer's contractual obligations.

Where appropriate, GHOSTPHORM may provide the payment processor or financial institution with documentation supporting the transaction, including:

  • Booking records

  • Customer communications

  • Signed or electronically accepted agreements

  • Service estimates

  • Invoices

  • Receipts

  • Before-and-after photographs

  • Vehicle inspection photographs

  • Service records

  • Appointment records

  • Proof of completed services

  • Documentation showing acceptance of the applicable policies

If a payment dispute is determined to have been improperly initiated after services were authorized or provided, GHOSTPHORM reserves all rights and remedies available under the applicable agreement and law.

Nothing in this section prohibits a customer from exercising a legitimate right to dispute an unauthorized or erroneous transaction.

6. Inspection & Documentation

GHOSTPHORM may photograph or otherwise document a vehicle before, during, and after service.

Documentation may include photographs or videos of:

  • Paint condition

  • Existing damage

  • Wheels

  • Glass

  • Trim

  • Interior surfaces

  • Defects

  • Service progress

  • Completed work

These records may be used for quality control, service documentation, warranty evaluation, dispute resolution, and protection of both the customer and GHOSTPHORM.

7. Customer Responsibility

The customer is responsible for removing personal belongings and valuables from the vehicle before service.

GHOSTPHORM recommends that customers remove cash, electronics, firearms, documents, jewelry, and other valuable or sensitive items.

GHOSTPHORM is not responsible for personal property left inside a vehicle except to the extent liability cannot lawfully be excluded.

Customers are also responsible for providing accurate contact information and promptly responding to communications concerning their vehicle.

8. Limitation of Guarantees

Except where expressly provided in a written warranty or required by applicable law, GHOSTPHORM does not guarantee that a vehicle will achieve a particular cosmetic result.

Photographs displayed on GHOSTPHORM's website, social media, advertisements, or other marketing materials represent examples of work and should not be interpreted as a guarantee that another vehicle will achieve an identical result.

Every vehicle is different.

9. Applicable Law

These policies are intended to be interpreted in accordance with applicable Alabama law.

Nothing in these policies is intended to waive, eliminate, or restrict any right or remedy that cannot legally be waived or restricted.

If any provision of these policies is determined to be unenforceable, the remaining provisions will remain in effect to the extent permitted by law.

10. Customer Acceptance

By scheduling an appointment, paying a deposit or pre-payment, leaving a vehicle with GHOSTPHORM, or authorizing GHOSTPHORM to perform services, the customer acknowledges that they have had an opportunity to review these policies and agrees to be bound by the applicable terms.

GHOSTPHORM LLC reserves the right to refuse or discontinue service when circumstances, vehicle condition, customer conduct, safety concerns, or other conditions make the requested service unreasonable or inappropriate.

These policies supplement, and do not replace, any written estimate, invoice, service agreement, coating warranty, or other terms specifically applicable to a customer's service.

FAQ

Everything You Need to Know

Quick answers to common questions about booking your service, warranties, and what we offer.

What is Your Booking Process?

We want to make protecting your vehicle a seamless and simple process. All you have to do is reach out with your vehicle info and we will give you the best options for you within 30 minutes. Booking is simple and requires a 50% deposit to secure your spot on our limited schedule.

What Are The Benefits of Ceramic Coating?

Professional-grade ceramic coatings provide a durable, chemically resistant protective layer that bonds to a vehicle’s paintwork at a molecular level, creating a hydrophobic surface that helps repel water, dirt, road grime, and other contaminants. Unlike traditional waxes and sealants, high-quality ceramic coatings offer significantly greater longevity and resistance to UV exposure, oxidation, staining, and environmental contaminants, helping preserve the paint’s gloss and clarity over time. Their slick surface also makes routine washing easier because contaminants have less opportunity to adhere firmly to the paint. While ceramic coatings are not a substitute for paint protection film or a guarantee against scratches and rock chips, they provide an excellent combination of long-term surface protection, enhanced appearance, easier maintenance, and improved resistance to everyday environmental wear.

Why Should I Coat All Exterior Surfaces on My Vehicle?

Ceramic coating shouldn’t stop at the paint. Wheels, glass, and exterior plastic trim are constantly exposed to harsh environmental contaminants, heat, brake dust, road grime, UV radiation, and water spotting, making them equally important surfaces to protect. A professional-grade wheel coating creates a highly resistant barrier that helps prevent brake dust and iron particles from bonding aggressively to the finish, making wheels easier and safer to clean. Glass coatings add hydrophobic properties that cause rain and water to bead and shed more readily, improving visibility and simplifying maintenance. On exterior plastic trim, ceramic coatings help resist UV-induced fading, staining, and contamination while enhancing and preserving the trim’s appearance. Protecting these surfaces together with the paint creates a more comprehensive exterior protection system, reducing maintenance while helping the entire vehicle stay cleaner, glossier, and better protected for longer.

Do You Require a Deposit?

Yes, we require at least a 50% deposit on all bookings in order to protect our limited schedule and ensure we have the premium product reserved for your vehicle. You can receive a 10% discount when you pay in full for your service at the time of booking.
